Making Collection Corrections
To reset each homeowner to the correct collections level:
Review the collections setup by selecting Setup > Collections Setup. If you are using universal navigation, click Accounting > Setup > Collection Setup.
Select the correct association.
Verify that Process Collections Day is set to Daily.
Verify that all collections levels are set and in the correct order.
Edit each collection level by clicking the description:
Change Duration at This Level to 1 day.
Verify that the collections level setup is correct.
Verify the Homeowner Letter template selected is the correct template.
If there is a collection fee, ensure the Collection Fee amount entered is correct.
Ensure the selected Transaction Types Included in Balance and Assessments Included in Balance are correct.
Review the homeowners currently assigned to each level.
NOTE: Any homeowner currently in collections can be impacted by these changes. It is important to note the level at which homeowners should be and ensure that they do not advance incorrectly.
Determine which homeowners should be in each level. The Collections module will advance a homeowner automatically if they meet the criteria in the setup.
Balance At Least: The homeowner account must have an outstanding balance of at least this amount.
Balance Older Than (Days): The homeowner account with a minimum amount equal to the Balance At Least amount must have aged at least this number of days.
NOTE: The system will automatically apply payments to the oldest balance, which resets the aging regardless of the Payment Distribution Level set on the System > Assessments screen. If you are using universal navigation, click Accounting > Settings > Assessments.
Set all homeowners to the level preceding the one to which they need to be currently assigned. For example, if John Doe should be in collections level 2, manually set his collections level at level 1. When the collections process runs, it will move John into the next collection level if he meets the criteria.
