When generating statements with collections letters in CINC Core, the Include [X] Days of History setting on the Setup > Collections Setup screen controls which transactions appear. This setting determines the number of days of ledger history included in the statement, which can affect how the delinquency period is represented. If you are using universal navigation, click Accounting > Setup > Collection Setup.

The Include [X] Days of History setting specifies the historical window of transactions to be included in the statement. For example, if you configure this setting to 90 days for a specific notice level, the statement will only display transactions from the last 90 days. This can result in the statement starting later than the actual delinquency period, even though the Notice of Late Assessment (NOLA) amounts are correct. CINC Core calculates the NOLA amounts independently of the statement history setting, using the Breakout Balance merge tag in the letter template.

To ensure that the statement reflects the full delinquency period:

  1. In CINC Core, select Setup > Collections Setup. If you are using universal navigation, click Accounting > Setup > Collection Setup.

  2. Search for and select the desired association.

  4. On the Collections Setup Details screen, adjust the number of days in the Include [X] Days of History field to cover the entire delinquency period you want represented. For instance, if the delinquency period started 120 days ago, set the history window to at least 120 days.

Key Clarifications

  • The Breakout Balance merge tag used in Collection Letter templates is not tied to the Include [X] Days of History setting. This means that while the NOLA amounts may be accurate, the attached statement may show a shorter history window if you do not configure the setting correctly.

  • Adjusting the Include [X] Days of History setting ensures that the statement aligns with the actual delinquency period, providing a clearer representation of the homeowner’s account status.

Troubleshooting Tips

  • If the statement does not reflect the expected transactions, double-check the Include [X] Days of History setting to ensure it covers the desired period.

  • Changes to the Include [X] Days of History setting only affect statements generated after the adjustment. CINC Core will not update previously generated statements retroactively.
