Setting Up Assessment Fee Types

  1. Select System > Assessments. If you are using universal navigation, click Accounting > Settings > Assessments.

  2. On the Assessments screen, click New to create a new line.

  3. Complete the following:

    • Assessment: Enter a name for the assessment.

    • Payment Distribution Level: Enter a number value that determines assessment priority when applying payments.

      • The lower the number, the higher the priority. For example, an assessment with a number 110 will be applied before one with a 200.

      • Each assessment fee type should have a unique value. If multiple assessment fee types have the same value, payments will be applied to the assessment type in the order in which they were set up.

    • Payment Plan Default Distribution Level: Enter a number value that determines the priority of the assessment when applying payments if the homeowner is on a payment plan.

      • This value is used instead of the Payment Distribution Level if the Payment Plan field on the Primary Homeowner Information screen is set to Active.

      • Each assessment fee type should have a unique value, but they can be the same as the value entered in the Payment Distribution Level for that assessment type. If multiple assessment fee types have the same value, payments will be applied to the assessment type in the order in which they were set up.

    • Principal: Enable toggle if the assessment’s balances are collectable by lawsuit.

    • ACH: Enable toggle if the assessment is to be included in ACH processing.

    • Keep Credit Balance: Enable toggle if credit balances for the assessment will remain with this assessment rather than be applied to other assessments.

    • Breakout Coupon Bucket: Works in conjunction with generating coupons. Enter a number, 1 through 4, to breakout or group certain assessments onto a coupon.

      • There can only be a maximum of four buckets: 1,2,3,4.

      • If two assessments are assigned to the same bucket (for example, 1), they will be grouped on the breakout coupon.

    • Bal. Detail Report Col.: Works in conjunction with the Custom Homeowner Information report (see Setting Up Group Reports). Enter the number value that will be used in the custom report to get balances on assessment types:

      • 1 = BRC - Assessment

      • 2 = BRC - Interest

      • 3 = BRC - Late Fees

      • 4 = BRC - Attorney Fees

      • 5 = BRC - Fines and Misc Charges

      • 6 = BRC - Work Orders

      • 7 = BRC - Balance Total

    • Regular: Enable toggle if the assessment is considered a regular assessment in HomeWiseDocs.

    • Special: Enable toggle if the assessment is considered a special assessment in HomeWiseDocs.

  4. Click Save.

  5. Repeat steps 2 – 4 to create additional assessments as needed.
