Overriding Board Approvals

Overriding Board Approvals

A delayed or unresponsive board no longer needs to hold up an otherwise-ready invoice. With the necessary security permissions, you can override the board approval requirement. The override bypasses the board approval step only and does not change how management approval works. Every override is recorded on the invoice, so anyone reviewing the invoice later can see who performed the override and when.

Notes:

  • The Override Board Approval permission is disabled by default for every security group.

  • Granting the permission alone does not display the Override Board Approval checkbox on an invoice. The user must also be a designated approver on the association before the Override Board Approval checkbox displays.

Follow these steps to override board approvals:

  1. In CINC, go to Vendors > Invoices.

    OR

In CINC with universal navigation, go to Payables > Invoices > Invoices.

  2. The Invoice List page displays. Search for and select the invoice by clicking the invoice date.

Note: Overriding board approval can also be carried out while coding a new invoice on the Assign Invoice page.

  3. Select the Override Board Approval checkbox.

Note: If all required management approvals were already complete before you selected Override Board Approval, the invoice remains in the Pending Approval status. In this case, you must select Ready for Payment from the Status drop-down list before selecting the checkbox.

  4. Click Save.

After the override, the Alert icon displays next to the board approval count. The approval count displays how many approvals are required and how many the invoice has received. For example, 0/1 or 1/1. Once the override is applied, the requirement is considered satisfied and displays accordingly. Click the board approval count to display the Approval List window.

The system records the details of the override, including the date, time, and user. To view the audit trail, locate the invoice, click the Invoice Date, and then click History at the bottom of the Invoice page.

    Notes:

    • Once you click Save, the system disables the Override Board Approval checkbox for other users and it can't be cleared.

    • If the invoice is later placed on Hold, the system removes the saved override.

    • If the vendor is changed and the new vendor's type does not require board approval, the system removes the override.
