Creating a Board Action Item

Creating a Board Action Item

Action items can also be created for boards for their visibility and input. The association manager oversees the item’s completion, but board members can make comments, download, and upload attachments from the community portal.

Follow these steps to create an action item for a board:

  1. In CINC, go to Portfolio > Action Items.

    OR

In CINC with universal navigation, go to Tasks > Action items > Action items.

  2. The Action Items page displays. Click New.

  3. The New Action Item page displays. Confirm the appropriate association displays in the association field at the top of the page, or search for and select an association.

  4. Select Board Action Item from the Action Item Type drop-down list.

  5. Confirm the Assign To user. The action item is assigned to you by default. Select a user from the Assign To drop-down list if necessary.

  6. Select a category from the Action Item Category drop-down list.

  7. Select the Start By Date.

  8. Select the Due Date.

  9. Select a status from the Status drop-down list.

  10. If necessary, enter the owner's name, account number, or address in the Homeowner field, and then click the Search icon.

    Notes:

    • If you leave the Homeowner field blank, clicking the Search icon lists all homeowners in the association.

    • The Homeowner field is optional. Linking an owner doesn't notify the owner that they've been linked to the action item. Once linked, board members can view the owner's violations, work orders, collections, and ledger from the community portal.

  11. Click the owner's name or account number.

  12. Enter a name for the action item in the Action Item Name field.

  13. Enter a description in the Description field.

  14. Click Browse to locate and select the appropriate file(s) to attach.

Note: The maximum file size for attachments is 10 MB. Files larger than that can't be uploaded.

  15. Click Save and Email Board to send the Action Item Assignment - Board email to all board members with a community portal account.

    OR

    Click Save.

Note: Both Save options save the action item and make it available to the board in the community portal.
