Returning a Homeowner Payment

If you want to initiate a return or if a homeowner’s payment is showing as returned on the Banking / Bank Returns screen it must be returned from the homeowner’s account. Returning on the homeowner’s account will also reverse the bank account register and the general ledger.

To return a payment:

  1. Select Homeowners > Transaction History. If you are using universal navigation, click Residents > Residents > Transaction History.

  2. Select the association.

  3. In the Homeowner field, enter the homeowner’s partial name, address or account number and click the Search icon.

  4. Select Payments Only in the View dropdown.

  5. If needed, change the date range in the From and To fields to include the date of the payment to be returned.

  6. Click Refresh. Payments applied on the homeowner account will be listed in date order.

  7. Select the checkbox next to the payment to be returned and click Return.

  8. On the Return Information screen, complete the following:

    • Date: Select the date of the payment.

    • Description: Modify if needed. This will be displayed on the homeowner’s Transaction History screen.

    • Bank Account: Verify that the correct bank account is selected.

    • Type: Select the appropriate return method:

      • Bank Adjustment: Bank adjustment will reverse the transaction off the ledger and will appear on the bank account register. This will not process anything at the bank. Usually used for manual adjustments and Bank Returns.

      • Check: Check will reverse the transaction off the ledger and will appear on the bank account register. This sends a check to the check print client. After posting, print the check. This option is for refunding overpayments by the homeowner. Selecting check will reveal additional fields for completion.

      • EFT: EFT will reverse the transaction off the ledger but will not process anything at the bank. EFT is used when a payment is made outside of CINC and you need to record the payment.

    Note: The Type dropdown options are managed on the System > Drop Down Options screen. Default options are available, but the names can be edited. If you are using universal navigation, click Settings > General > Drop Down Options.

  9. Enter the Return Amount you want to correct for each assessment.

  10. Click Post.
