Running Accounts Receivable Reports
Associations with Accrual selected as their accounting method for Accounts Receivable have several reports available in the system. These reports provide information regarding the association’s homeowner receivables.
To run available reports:
Select Reports > Accounting Reports. If you are using universal navigation, click Insights > Reports > Accounting.
Click on the desired report and enter the necessary fields. The following reports are recommended for Accounts Receivable functions:
NOTE: Certain reports feature a Drilldown option, which offers a deeper view of data and values in the report. These reports feature a green indicator on their respective Report List screens.
Aging Report: Lists homeowner receivables by age. There are several versions of this report that may be used based on specific needs. Report parameter options:
Association: Select one or all associations.
End Date: The end date will maintain the last date selected but can be changed.
Homeowner Status: Select the checkboxes of each status to include in the report.
Collection Status: The default is All but can be changed generate the report specific to a collection status.
NOTE: Selecting a Collection Status will affect the report only for associations that have enabled the collections module.
Display Collection Status: Select this checkbox to show the current collection status as part of the report.
NOTE: Selecting this checkbox will affect the report only for associations that have enabled the collections module.
Display Collection Attorney: Select this checkbox to show the attorney assigned to the account through the collections process.
NOTE: Selecting this checkbox will affect the report only for associations that have enabled the collections module.
Include Detail: Select this checkbox to include the detail of each assessment with an unpaid balance.
Include Notes: The default is None. Select one of the following options from the dropdown:
Only Notes Attached to Homeowner Assessments on Report: This option will display notes added to assessment charges using the Note function on the homeowner ledger. The report will show only notes added for assessments included in the report. This means that if a note is added to a charge that has been paid, it will not be shown on the report.
All Notes for Homeowners on Report: This option will display notes added to assessment charges using the Note function on the homeowner ledger. The report will show ALL notes added for any assessment even if the assessment has been paid. This means that if a note is added to any charge, it will not be shown on the report.
Include Credit Balance: Select this checkbox to include credit balances for any assessment and prepaid.
NOTE: CINC recommends selecting this checkbox as well as the Include Detail checkbox to produce a report that will assist in finding credit balances that are applied to assessments, as these credits will reduce the accounts receivable balance.
Include Posted Payments Only: Select this checkbox to include payments for which batches have been posted. This will include payments with a batch close date that is equal to or less than the end date selected for this report.
NOTE: CINC recommends selecting this checkbox.
Include Homeowner Name: Checkbox is defaulted to checked in order to show the homeowner’s name.
Include Homeowner Address: Checkbox is defaulted to checked in order to show the street address, unit, and lot #.
Sort by: Choose from several different sort options to arrange the report based on board members’ preference. (Account No, Address, Balance (Highest first), Balance (Lowest first), Last Name, Lot #, Unit #).
Receivables Type Balance: Transaction activity report by assessment that includes previous balance, billing (charges), receipts (payments), adjustments, prepaid, and ending balance per assessment.
NOTE: This is a good report to use when determining payments that are applied to specific assessments, (e.g., Special Assessments). It can provide the total amount for transfer from operating funds to a special assessment bank account if the association is required to maintain a separate account.
Click PDF, Word, or Excel to run the report in the specific format.
NOTE: PDF is the recommended format for CINC Accounting.
When the report is ready to view, it will be listed under the Recent Reports heading on the left navigation toolbar. Click on the report name to open it in the selected format.
