Writing Off Charges
The write off feature allows users to adjust charges and offset the GL using a user-defined account. Write offs can be used when handling a bad debt account.
To complete a write off:
SelectHomeowners > Transaction History. If you are using universal navigation, click Residents > Residents > Transaction History.
Search for and select the desired homeowner and association.
Once the ledger is displayed, click Writeoff to open the Write Off popup.
Complete the following fields and click Post:
Post Date: Defaults to today’s date. Use care when selecting a different date, especially if the date is in a previous month. Using a date from a closed period will cause out-of-balance issues.
Debit GL Account: Select the GL account from which the balance will be written off (Bad Debt).
Description: Enter a description for the write off (e.g., “Writeoff Acct. #12345 per BOD”).
Amount: Enter the amount of the write off for the assessment in the Which Assessment to Credit section. A warning message displays if the write off amount entered will create a negative balance for the assessment.
NOTE: Once the write off is posted, a batch will be automatically created and posted/closed by the system. The Write off function is irreversible. Once it is complete, no changes may be made. GL entries will be made for accrual associations only.
