Management Plan Templates Setup

Management plan templates are used to provide a yearly strategic operational plan for each community. They can be planned in collaboration with the Board and are used to define common tasks that are part of the associations’ management plans.

Based on the items defined in the management plan, the system will automatically create Action Items on the Portfolio > Action Items screen for the property manager. Items may include, but are not limited to: If you are using universal navigation, click Tasks > Action Items > Action Items.

  • Board meeting dates.

  • Annual review of insurance policies.

  • Annual review of permits and licenses.

  • Amenities openings (pool, playground, etc.).

  • Annual meeting reminder.

  • Reserve studies update.

  • Budget preparation.

CINC recommends creating plan templates for each type of association, e.g., single family homes, condominiums, etc. Once assigned to an association, the template will automatically generate Action Items (if selected to do so) for an assigned period prior to the due date. This keeps the number of assignments per user down while ensuring that they are generated in a timely fashion and not forgotten.

Creating a New Management Plan

  1. Select Setup > Portfolio Management. If you are using universal navigation, click Associations > Setup > Portfolio Management.

  2. Click the Mgmt. Plan Templates tab at the bottom of the Global Options screen.

  3. On the Mgmt. Plan Templates screen, click New.

  4. On the Mgmt. Plan Template Items screen, complete the following. To add rows, enter the number in the More Items field and click Add. To remove lines, select the checkbox next to the item to be removed and click Remove.

    • Template Name: Enter a unique name for the template. For example, “Townhouses – no pool”.

    • Due Date: Enter or select the due date for the item.

    • Item Description: Enter a description for the item. For example, “Board Meeting”.

    • Responsibility: Select the party responsible for the item. More responsibilities may be added under System > Drop Down Options/Drop Down List: Portfolio Responsibility. If you are using universal navigation, click Settings > General > Drop Down Options.

    • Create Action Item (days before): Enter the number of days prior to the Due Date that the Action Item should be created.

    • Internal: Select the checkbox to indicate that the item should not be visible on the Portfolio Management reports.

  5. Click Save.

Copying an Existing Management Plan

To copy an individual Management Plan item to a future year:

  1. Select Setup > Portfolio Management. If you are using universal navigation, click Associations > Setup > Portfolio Management.

  2. Click the Mgmt. Plan Templates tab at the bottom of the Global Options screen.

  3. On the Mgmt. Plan Templates screen, select the checkbox of the item to copy, click Copy, and then click Paste.

    NOTE: Only items with a future Due Date can be copied.

  4. Open the newly copied template by clicking on the Created or Template hyperlinks.

  5. On the Mgmt. Plan Template Items screen, edit the Template Name.

  6. To edit the Plan Items, select the checkbox next to the item and make the edits as needed. To add rows, enter the number in the More Items field and click Add. To remove lines, select the checkbox next to the item to be removed and click Remove.

  7. Click Save.

Deleting a Management Plan

  1. Select Setup > Portfolio Management. If you are using universal navigation, click Associations > Setup > Portfolio Management.

  2. Click the Mgmt. Plan Templates tab at the bottom of the Global Options screen.

  3. On the Mgmt. Plan Templates screen, select the checkbox of the item to delete and click Delete. A popup will require deletion confirmation.
