Setting Up New Association Fees

Association fees must be entered for the new association prior to generating billing. See Setting up Association Fees.

Setting Up Billing Section

To set up billing sections are needed as part of the fee setup:

  1. Select Setup > Association Setup. If you are using universal navigation, click Associations > Associations > View All.

  2. Click the applicable association link.

  3. On the Association Information screen, click the Sections tab.

  4. Click New.

  5. Enter a Description for the section, then click Save.

  6. Select Setup > Association Fees. If you are using universal navigation, click Accounting > Settings > Association Fees.

  7. Click the assessment to which to link the section.

  8. Click the Sections Search icon.

  9. Select the checkbox next to the applicable Section and click Save.

    NOTE: Only one section may be linked to a single assessment.

  10. Once the homeowners have been entered for the new association, assign billing sections. Select Setup > Homeowner Sections. If you are using universal navigation, click Residents > Residents > Sections.

  11. Select the Section from the dropdown.

  12. Select the checkbox next to each homeowner who should be billed for the assessment amount in that section, then click Save.

  13. Repeat these steps until all sections are created and assigned, and all homeowners have been linked.

Using Ratio Billing

Once the homeowners have been entered in CINC Accounting for the new association, enter their percentage of ownership/billing percentages:

  1. Select Tools > Data Import. If you are using universal navigation, click Settings > General > Data Import.

  2. Select the Data Type as Homeowner Fee Ratios.

  3. Download the Excel import template and open the spreadsheet.

  4. Enter the following information on the import spreadsheet, then click Save:

    • Homeowner Account Number: Must be an exact match to the owner’s account number in CINC Accounting.

    • Assessment Type: Must be an exact match to an entry on the System > Assessments screen. If you are using universal navigation, click Accounting > Settings > Assessments.

    • Percent: Enter the percentage allocated to the owner.

  5. On the Data Import screen, browse to and select the completed Excel spreadsheet.

  6. Search for and select the association to which to import the chart of accounts.

  7. Click Import.

    NOTE: Once the import is completed, the percentages will be viewable from the Primary Homeowner Information screen by clicking the Fee Percentages magnifying glass.

  8. Repeat these steps until all fees have been entered for the association.
