Maintain Directories

Create and manage directories for selected groups as show below by selecting Manage Content > Maintain Directories. If you are using universal navigation, click Settings > Resident Portal Management > Directory Management.

  • Additional Address Directory screen: displays information as listed on the homeowner’s Additional Addresses tab, such as a directory of homeowner off-site addresses or tenants

  • New Board/Committee Directory screen: displays information as listed on the Associations Directory tab in relation to board and committee members

  • New Homeowner Directory screen: displays information as listed on the Homeowner Information screen in CINC. Owner information will display in the homeowner directory, regardless of whether owner is a registered web user. Registered users have the option to opt in or out of the directory listing

  • New Custom Director screen: allows importation of homeowners in CINC as well as creation of entries that are not in CINC.

  • Enter the following information on the new directory screen and click Create Custom Directory:

    • Enter a name or title for the directory

    • Check the Private box to limit access to only registered web users who are logged into the website

    • Check the box next to each option of contact information to display in the directory (Show Name, Show Phone, Show Email, Show Address)

Viewing Directory Lists

To view a list of owners included in a directory, click List on the Maintain Directory screen. This list will differ from the homeowner directory on the website, depending on visibility parameters and owners opting in or out of the public directory.

To edit the directory name or visibility settings, click Edit next to the applicable directory. To delete a directory, click Delete.

Directory Functionality

Sorting in Directories

Users can sort on any column by clicking on a column heading.

Restrict Directory Access

Users can restrict access to specified directories:

  • Checking Private indicates the homeowner must be logged in to access the specified directory

  • To further restrict private categories to boards and committees, select the appropriate board/committee(s). Only homeowners in the specified boards or committees will have access to the specified directory

  • Restriction setting is allowed for all existing directory types: additional address, board, committee, homeowners, and custom directories.

Section Directories

Users can create homeowner directories based on association sections.

If the association has sections, users can create a Homeowner Directory and specify which section(s) should be included in the directory.

When creating directories with sections, only homeowners that are assigned to the specified section(s) will be included in the directory.
