Once the collections templates and levels are set up, collections functions for each association can be enabled.
As homeowners automatically move through the collections process, the Collection Status field on the Primary Homeowner Information page updates to reflect the owner’s current level based on the levels created. Collection Status is also shown on the Homeowner Listing page.
Note: CINC recommends enabling collections for one association for a period of 30 days to determine whether the escalation process is correct before enabling collections for all associations.
Follow these steps to enable collections:
In CINC, go to Setup > Association Setup.
OR
In CINC with universal navigation, go to Associations > Associations > All associations.
The Association List page displays. Select the association.
The Association Information page displays. Toggle on Enable Collections. Without this toggle, the collection processor skips the association entirely.
The Collection Processor runs on a scheduled task:
It evaluates all homeowners in collections-enabled associations against the level thresholds.
For qualifying homeowners, it generates letters for all contacts with the Owner persona.
Letters go to every mailing address selected in Choose Template Addresses on the Collections Setup Details page.
If an owner already receives a letter to a selected address type, a second copy is not generated.
Linked/property contacts with the Owner persona get one letter per mailing address, addressed to both individuals.
If the Use Business Name is toggled on for a contact, the business name replaces the contact’s name.
When integration is turned on, letters with an external print provider destination generate to the Export Print Jobs page for API delivery.
Every generated letter creates a record in the homeowner's Correspondence Notes page.
