Matching Contacts During Registration

Contacts & Consent - Matching Contacts During Registration

The registration process in the WebAxis Homeowner and Board Portal is designed to ensure that each portal user is properly linked to the correct contact record in CINC. When a homeowner registers, the system attempts to match their registration to an existing contact record and updates that record with the details provided.

How the process works:

  1. Automatic contact matching

When the system's auto-match criteria are met and the email address entered during registration matches an existing record, the system automatically links the portal user to that contact record. No admin intervention is required.

  2. Automatic contact detail updates

When a match is made, the contact record is updated with the email address and phone number provided during registration, helping ensure the information in CINC stays current.

  3. Manual approval

Registration requests must be reviewed manually on the Approve Pending Registrations page when any of the following apply:

    • Auto-match fails

    • Auto-match is disabled

    • The registrant identifies themselves as a tenant

  4. Creating new contact records

If no existing record matches the registration, a new contact record can be created during the manual approval process. This is useful for adding non-property owner contacts, such as tenants, to an existing property record.
