Data Standards
Data, including all names and addresses, may be entered in ALL UPPER CASE, but should be entered in proper case to enhance readability and create a more professional presentation.
With the exception of the hyphen in the Zip+4 Code, use of punctuation should be limited to adhere to postal service standards and save space for more meaningful characters.
Standardized address information should be used to provide a more professional presentation, enhance the processing and delivery of mail, and provide potential cost reduction opportunities through improved efficiency.
Standardized address information may be fully spelled out but should be abbreviated using the postal service standard abbreviations to provide a common approach that will accommodate longer addresses and avoid truncation of data by any system that might utilize the data.
Using standard address information and eliminating extraneous information that can confuse postal service personnel or be misread by postal service equipment will also help support prompt and accurate delivery of any mail.
