Creating a Homeowner Correspondence

Homeowner correspondences are created using previously created homeowner correspondence templates. (See Setting up Homeowner Correspondence Templates). Correspondences are automatically generated for certain violation, ACC, and collection events, but you can add correspondences manually if needed.

  1. Select Homeowners > Homeowners. The Homeowner Listing screen is displayed. If you are using universal navigation, click Residents > Residents > Resident List.

  2. Search for and select the desired association.

  3. Select the homeowner.

  4. Click the Correspondence tab at the bottom of the Primary Homeowner Information screen.

  5. On the Correspondence Listing screen, click New.

  6. On the Notes History screen, complete the following information:

    • Description: Enter a description for the correspondence.

    • Corr Type: Select the correspondence type from the dropdown.

    • Status: Select the status.

    • Note Date: Defaults to today’s date but may be changed.

    • Note Type: Select the note type such as Email or Letter.

    • Next Contact: Enter or select the date of the next contact if needed. You can receive an alert to review the account on the date entered if the alert for Next Contact Reminder is enabled.

    • Template: Select a template from the dropdown, then click Go to load the template.

  7. Make changes as needed.

  8. Click Save. The new correspondence record is added to the Correspondence Listing screen.
