Adding a Voting Ballot in Connect Admin

Adding a Voting Ballot in Connect Admin

You can create a voting ballot for an association, giving residents a way to weigh in on association matters.

Note: In some states (for example, Florida), a resident must have an approved Online Voting Consent on file before they can cast an online vote. If a resident in one of these states can’t vote, check their consent status.

Follow these steps to add a new voting ballot:

  1. In CINC Connect Admin, go to Associations > All Associations.

    OR

In CINC with universal navigation, go to Settings > Resident portal management > View all associations.

  2. The Associations page displays. Select the appropriate association.

  3. The Association page displays. Click the Participation tab.

  4. The Voting tab displays. Click Add New.

  5. The New Ballot page displays. Select the Ballot Type.

    Notes:

    • The available ballot fields will vary depending on the Ballot Type selected.

    • Electoral ballots (board elections) are final once submitted, and results and the vote breakdown stay hidden roughly 20 minutes after the ballot closes. Non-Electoral ballots can be changed until the ballot closes, and results and the breakdown are visible live while voting is open. If your state doesn’t require a secret ballot, Non-Electoral is usually the right choice for anything other than a board election.

    • Every unit gets exactly one vote, and once a unit casts its vote, it locks, meaning no changing the answer and no voting again.

    • If enabled, Electoral ballots (formal elections) are visible only to each unit's designated Voting Member; other ballot types remain visible to all eligible members.

  6. Enter the Ballot Title.

  7. Click to upload a Ballot Image in either .jpg, .png, or .gif format.

Note: 16MB is the file limit. It is recommended to have a landscape orientation, sized between 1400x1000 and 1920x1080, with the subject centered.

  8. Enter the Ballot Description.

  9. Select the dates for when the Voting Starts and Voting Ends.

  10. Select the date for the Opt-in deadline.

Note: This is the cutoff date by which eligible voters need to register or confirm participation in this ballot before voting actually opens.

  11. Select the date for the Opt-out deadline.

Note: This is the cutoff date by which eligible voters who previously opted in to vote online must withdraw that consent, if they choose to, before the ballot closes. After this date passes, a resident's online voting consent can no longer be revoked for that ballot.

  12. Enter the Quorum.

Note: This is the minimum number of votes/participants required for the ballot's result to be considered valid.

  13. Complete the following fields:

    1. If you selected Electoral Ballot, enter the Candidate information for each individual. This includes the Candidate Name, Candidate Photo, Candidate Bio, and any additional documents. Click Add candidate if you need to add more individuals to the ballot.

    2. If you selected Non-Electoral Ballot, Multiple Choice Answer, enter the Option information. This includes the Option, Option Description, and any additional documents. Click Add option if you need to add more options to the ballot.

    3. If you selected Non-Electoral, Yes or No Answer, there are no additional fields to populate.

  14. If you selected Electoral Ballot, or Non-Electoral Ballot with Multiple Choice Answer, complete the Candidate Selection Settings by setting the Minimum Candidate Selection (the fewest candidates a voter must choose for a valid ballot) and the Maximum Candidate Selection (the most candidates a voter is allowed to choose).

  15. Click Publish Ballot.

Note: Alternatively, you can click Save & Preview until you are ready to publish the ballot.
