Understanding Cephai EFT Matching

Before reconciling EFT transactions with Cephai, it helps to understand how the matching process works and what happens behind the scenes when Cephai suggests invoice details. Knowing when and why the Cephai icon displays, how Cephai improves its suggestions over time, and how it flags potential duplicates helps you review its recommendations with confidence.

The EFT Matching Process

When a bank transaction comes in, CINC first attempts to match it to an invoice automatically, without Cephai's help. Cephai steps in for the transactions that automatic matching can't resolve.

  • If the system can match the outstanding transaction on its own, the Amount displays as a hyperlink without a Cephai icon next to it.

  • If the system can't find a match, Cephai analyzes the transaction description and suggests invoice details or an existing match. In this case, the Cephai icon displays next to the Amount.

  • Clicking the hyperlinked Amount where the Cephai icon displays opens the Review AI Reconciliation Suggestions window, where you review Cephai's suggestions before creating the invoice.

How Cephai Learns

Cephai's suggestions improve as you work with it.

  • When you manually match a vendor name to a transaction, Cephai remembers that match and recognizes the same or similar transaction descriptions in the future, suggesting the appropriate invoice details automatically.

  • When you override a field that Cephai populated, Cephai applies your change to similar future transactions instead of repeating the same suggestion.

Duplicate Detection

Cephai also helps prevent you from creating duplicate invoices by mistake. If Cephai detects that a new invoice may match one that already exists, it alerts you so you can review the potential duplicate before saving. Confirming whether an alert is a true duplicate is your responsibility. Cephai flags the possibility, but doesn't resolve it for you.
