Reconciling bank transactions against invoices takes time, especially when a transaction description doesn't clearly identify the vendor or the invoice it belongs to. Electronic Fund Transfer (EFT) transactions are a common source of this manual effort, since they often require you to research and match each one individually.
The Cephai Auto-Draft Reconciliation Skill uses AI to reduce this manual work. When the system can't automatically match an outstanding bank transaction to an invoice, Cephai analyzes the transaction description and suggests invoice details for you to review, so you can create the invoice without starting from scratch.
To generate these suggestions, Cephai draws on:
The bank transaction's description and amount.
Vendor names you've matched manually in the past.
Existing recurring invoice templates, where applicable.
Cephai also learns as you work. When you manually match a vendor name or override a suggested field, Cephai applies that change to similar transactions going forward, so its suggestions improve the more you use it.
What AI Does and Doesn't Do
Cephai is designed to assist, not replace, your judgment. Understanding exactly where its role begins and ends will help you set realistic expectations and know what to check before you save an invoice.
Cephai does:
Identify outstanding EFT transactions that need your review.
Analyze the transaction description and suggest invoice details.
Learn from vendor names you match manually and apply that knowledge to similar transactions in the future.
Alert you to a potential duplicate invoice before you save.
Cephai does not:
Automatically match every transaction. Some still require manual entry.
Save or finalize an invoice without your review.
Guarantee that suggested invoice details are complete or accurate.
Replace your judgment on GL coding, vendor selection, or approvals.
You remain responsible for reviewing Cephai's suggestions, confirming the invoice details are correct, and resolving any duplicate alerts before saving.
