Once you understand how Cephai identifies and suggests matches for EFT transactions, you're ready to use those suggestions to create an invoice. This is a single continuous procedure, from opening the transaction to saving the completed invoice.
Creating an Invoice from an EFT Transaction
Follow these steps to reconcile an EFT transaction with Cephai:
In CINC, select Reconcile Bank Transactions.
OR
In CINC with universal navigation, go to Accounting > Daily > Reconcile bank transactions.
Click the Amount hyperlinked in blue wherever the Cephai icon displays to open the Review AI Reconciliation Suggestions window.
Note: If Amount is hyperlinked but the Cephai icon does not display, the system already matched the transaction and no further action is needed here.
Review each suggestion Cephai pre-populates from the transaction description before continuing.
Note: Bank transaction descriptions can be vague, which is exactly why this review step matters. This is also where Cephai’s learning applies most directly; the more you confirm or correct its suggestions here, the better it gets at reading similarly worded descriptions in the future.
If applicable, click the Recurring Invoice Template field and select the appropriate template.
Note: If you don't have a recurring invoice template, continue coding the invoice manually.
Enter the Invoice #.
Enter the invoice Date.
Enter the Account #, if applicable.
Confirm the Pay To vendor.
Enter a check Memo.
In the Expense Items section, search for and select the appropriate general ledger (GL) account to categorize the transaction.
To add supporting documentation, drag files to the window or click to browse your file explorer.
Note: You can upload up to five files per invoice. Supported file types include .pdf, .docx, .doc, .jpg, .jpeg, and .png. Attachments remain linked to the invoice record permanently as it moves through the approvals process.
Click Save.
The system creates the invoice, which displays on the Invoice List page and moves through the approvals process like any other invoice.
