Sending a Cephai-Suggested Reply in the Communications Skill

Sending a Cephai-Suggested Reply in the Communications Skill

At the top of your message list, Cephai groups emails that already have a Cephai-drafted reply waiting for you under a section called AI-Suggested Replies. The number in parentheses shows how many drafts are ready at any given time.

These drafts are generated based on the content of the incoming email and relevant context from your account. They are intended to give you a strong starting point so you can review, adjust if needed, and send rather than writing responses from scratch. This is one of the fastest ways to reduce the time you spend on routine correspondence.

Follow these steps to send a Cephai-suggested reply:

  1. Locate the AI-Suggested Replies section at the top of your inbox.

  2. Open an email with a waiting draft.

  3. Review the AI-generated response for accuracy and appropriate tone.

Note: Currently the Response Tone is read-only and defaults to Professional. In the future you will be able to adjust how the draft sounds before you send it. The three options are described in the table below the steps.

  4. Edit the draft as needed.

Note: When an AI-drafted reply is missing a detail only you would know (like a date or dollar amount), it's flagged inline in the draft text. Clicking the flag opens a field to fill in the missing info, which then becomes normal editable text. Send Reply stays disabled until all flagged items are filled in.

  5. After reviewing any AI-generated draft, click the thumbs upor thumbs downicon.

Note: If you click the thumbs down icon, the Help us improve AI drafts window displays. Provide feedback and then click Submit Feedback. This helps improve future drafts over time.

  6. Click Send Reply.
