Viewing the Messages Section in the Communications Skill

The Messages section is your inbox. Every email displays key context immediately, so you can assess and act on messages without opening each one individually. Instead of toggling between your email, your management software, and your notes, you triage, respond to, and track community communications in one place.

Column

Description

Inbox Selector

Select which connected email account’s messages you’re viewing. Switch between a single inbox or all inboxes, so you can work from the right mailbox when you manage multiple accounts or associations.

Search and Filter Button

Opens search and filtering for the message list. Search by keyword to find a specific email, or apply filters to narrow the list. Inside, the Customize quick filters button lets you select which filters display on the Quick Filter bar.

Compose Button

Starts a new email from scratch, rather than replying to a message in your inbox.

Quick Filter Bar

Quick filters display in one row after the All filter. Click a filter to enable it; active filters combine, and All clears them. To change your bar, click Search and filter and click Customize quick filters, where you can add, remove, and reorder up to 10 filters, search by name, or reset to the default five. Your choices are saved between sessions.

Sender Column

Displays the sender of the email with an avatar, name, and email address. When no photo is available, the avatar shows initials instead.

Flags Column

Displays signals about the email, including unread, urgent, and claimed by someone else.

Association Column

Displays the association for the sender’s highest-priority role. If the sender belongs to more than one association, a +N badge shows how many more. Hover over the cell to see every association listed under Member of, in priority order. Cephai counts an association once, even if the sender has two roles in it.

Recommendation Column

Displays the status of Cephai's suggested reply for each message. Ready to send means Cephai completed the draft and you can send it as is. Needs attention means Cephai drafted a reply, but you may need to take action or edit it before you send it, such as making a manger decision, adding context, or doing a quick check. Action Required means Cephai could not answer some or all of the sender’s questions from the information available in your association’s documents, so you need to supply the missing information before you send a reply.

Mood Column

Displays the sentiment Cephai detected in the message: Positive, Neutral, or Negative.

Note: The Mood indicator reflects Cephai analysis and is meant as a helpful signal, not a definitive classification. Use it to quickly spot emails that may require a more careful or empathetic response.

Received Column

Displays the time the email arrived today, or the date if it arrived earlier.

Preview Column

Displays an AI-generated plain-language summary of the email's content and any action it requires. Instead of a raw subject line that may not reflect the email’s contents, you see a clear, concise description of the situation and what the sender asks of you.

Actions Column

Opens the More menu with quick actions for the email.
