Sending Collection Letters

Contacts & Consent - Sending Collection Letters

Collection letters have been updated to ensure that delinquency notices reach every relevant contact on a homeowner account accurately and completely. Letters and emails are now generated per contact and mailing address, with linked contacts sharing a single letter, and email delivery now supported when a contact's preferences allow.

This release includes the following enhancements to collection letters:

  • You can now generate collection letters for all contacts based on the selected mailing address.

    • The system generates a letter for each contact, or linked contact, with the Owner persona.

    • If you select additional address types in the Choose Template Addresses field on the Collections Setup Details page, the system also generates a copy of the letter for each contact who uses one of those mailing address types, regardless of persona.

    • If you enable Generate Letters for Unlinked Addresses on the Collections Setup Details page, the system also generates a letter for each address that is one of the address types you selected and that no contact uses as a mailing address. The system addresses the letters to the property’s Primary Contacts, or to the DBA name if you select that option.

    • For linked contacts, both names display on a single letter per address.

  • Business names are used when enabled.

    • The system honors delivery and communication preferences.

    • All merge tags populate correctly with recipient information.

    • PDF letters are attached to the homeowner’s Correspondence Notes page.

  • Improved generation of collection statements with accompanying letters to ensure all appropriate recipients receive proper communication per the Collections Setup page.

  • Collection letters can now be sent via email:

    • Automated emails are generated when the template includes an email delivery, and the contact has an email address.

    • The system honors delivery and communication preferences.

    • The system supports secondary email addresses when enabled.

    • Collection print jobs display on the Email Correspondence page.

    • All merge tags populate correctly with recipient information.

    • PDF letters are attached to the homeowner’s Correspondence Notes page.

  • Collection letters with Paper Source destinations of LetterStream or HOA Mailers external print providers are available on the Export Print Jobs page. LetterStream or HOA Mailers integration must be enabled.

    • Contact names displayed (not primary homeowner’s name).

    • Linked contacts are shown as Contact 1 and Contact 2.
