Moving Payments
The Move Payment function in CINC Core helps you correct misapplied payments and reallocate funds between accounts or communities.
You can:
Reallocate a payment between assessments on the same homeowner ledger. See Moving Payments Between Assessments for the Same Homeowner
Transfer a payment from one homeowner to another within the same community. See Moving Payments Between Homeowners in the Same or Different Association
Reallocate a payment from a homeowner in one community to a homeowner in a different community (cross-association). For cross-community moves, the system automatically transfers funds between the respective bank accounts, eliminating the need to draw and re-deposit physical checks. See Moving Payments Between Homeowners in the Same or Different Association
IMPORTANT: Before moving a payment, make sure a charge exists under the destination assessment grouping. For example, to move a payment to an RV Deposit assessment, first add an RV Deposit charge. Without a charge, the system has no destination for the payment and applies it to Prepaid instead.
Manual moves should never be dated before the payment date or before another move payment date, both instances will result in an AR Imbalance.
Batches for moved payments are automatically opened and closed by the system.
Troubleshooting Common Issues
Unable to move a payment to a specific assessment. Ensure a charge exists under the target assessment grouping before attempting to move the payment.
Unsure about Pay Type options during cross-community moves. Select ACH for electronic transfers or Check for manual check creation.
Moving Payments Between Assessments for the Same Homeowner
Select Homeowners > Transaction History. If you are using universal navigation, click Residents > Residents > Transaction History.
On the Transaction History screen, select the association.
NOTE: Payments highlighted in blue in the table on the Transaction History screen have not yet posted and cannot be moved.
In the Homeowner field, enter the homeowner’s partial name, address or account number and click the Search icon.
On the Transaction History screen, change the View to Charge Grouping, and then click Refresh.
Click on the hyperlink for the payment to be moved.
NOTE: Only payment amounts that have an orange underline in the Paid field can be moved.
On the Move Payment popup, enter the Amount to be applied to each Assessment and click Save.
Click Move to confirm.
Moving Payments Between Homeowners in the Same or Different Association
You can move payments between homeowners in the same association or a different association. If needed, only a portion of the payment can be moved.
Select Homeowners > Transaction History. If you are using universal navigation, click Residents > Residents > Transaction History.
On the Transaction History screen, select the association. Payments highlighted in blue in the table on the Transaction History screen have not yet posted and cannot be moved.
In the Homeowner field, enter the homeowner’s partial name, address or account number and click the Search icon.
On the Transaction History screen, change the View to Payments Only, and then click Refresh.
Select the checkbox next to the payment to be moved, and then click Move to open the Move Payment screen.
NOTE: Only payment amounts that have checkbox next to it can be moved.
In the Move From Information section, complete the following:
Date: Defaults to current date. Do not change. When a payment is moved to the new owner, it will have the original payment date and will credit back to that date.
Bank Account: Leave as default.
Description: Recommended to add a detailed description, such as move to account/date/reason for move, to assist in locating the transaction if needed.
Pay Type: Options include:
ACH: Defaults to ACH if the Bank Account selected is an Accounting Integrators (AI) partner bank. Funds will be sent in the next ACH file during the next bank processing.
Check: Defaults to Check if not a partner bank. The system creates a check in the sending account’s bank register, which can be printed from the Check Printing client.
In the Move To Information section, complete the following:
Move To: Search for and select the homeowner who should receive the funds to populate the list of Assessments.
Bank Account: Leave as default.
Apply: Enter the amount to be applied to each Assessment.
Click Post.
Click OK to confirm.
