Configuring Dynamic Payment Options

The Payments module for your WebAxis template features dynamic balance payment options for homeowners who are setting up AutoPay in the Homeowner & Board Portal:

  • Assessment Balance: Choosing this option pays the assessment balance for the current month on the scheduled payment date belonging to assessment types specifically flagged in Setup > Assessments in CINC Accounting. The calculated payment amount is based on the associations Auto ACH configuration. If you are using universal navigation, click Accounting > Settings > Assessments.

  • Total Balance: Choosing this option pays the entire balance comprising of all assessment types on the scheduled payment date. This includes any unpaid balances carried over from previous billing period(s).

Dynamic Balance Configuration in WebAxis Admin Portal

To accept homeowner payments, the Payments module must be added to a page on Step 4 of your template. Templates are managed from the Templates > Manage Template screen. Click here for more on how to add modules to your template. If you are using universal navigation, click Associations > Setup > Association Templates.

There is no other configuration in the WebAxis Admin Portal.

Assessment Configuration in CINC Accounting

The Assessment Balance payment option will not appear for homeowners until you configure which assessments homeowners can pay using ACH in the CINC Accounting assessment configuration.

  1. In CINC Accounting, select System > Assessments. If you are using universal navigation, click Accounting > Settings > Assessments.

  2. Enable the ACH toggle for the assessments that should be payable using the Click here to pay assessment balance option.

You can modify the following help text that appears to homeowners under the dynamic payment options to fit association-specific collection policies.

  • Recurring Payment: Assessment Balance Message: This message corresponds to the Assessment Balance display when homeowners make a payment.

  • Recurring Payment: Current Balance Message: This message corresponds to the Total Balance display when homeowners make a payment.

Pay Assessment Balance Payment Amount and Auto ACH Configuration

If a homeowner elects to pay Assessment Balance, the system will calculate the amount based on a backend ACH method configuration your management company determined with CINC during the initial go live. This configuration determines how much is transacted from the homeowner account.

Note: If there is a need to change the Auto ACH Configuration, reach out to your CINC Account Manager or submit a CINC support case.

Current Balance of Assessment (Current ACH)

Current Balance of Assessment looks at the charges for the current month and accounts for any payments or adjustments to the charges.

Example: The normal assessment charge is $250 per month, but the homeowner has already made $100 payment that went into Prepaid. Using the Current Balance of Assessment method, the system will draft $150 for the transaction after accounting for the Prepaid balance first. The system does not look at any previous balances in this ACH configuration.

Current Assessment Amount (Current ACH Charges)

Current Assessment Amount looks at the charges for the current month but does not account for any payments or adjustments to the charges.

Example: The normal assessment charge is $250 per month, and the homeowner has already made $100 payment that went into Prepaid. Using the Current Assessment Amount method, the system will draft the full $250 for the transaction and ignores the Prepaid balance. The system does not look at any previous balances in this ACH configuration.

Total Balance Due (Total ACH)

Total Balance Due looks at the charges for the current month, accounts for any payments or adjustments to the charges, and looks at any unpaid charges for previous months. For the system to look at an assessment, there must be a charge in the current month.

Example: The normal assessment charge is $250 per month. The homeowner has already made $100 payment that went into Prepaid. The homeowner also has an assessment balance of $400 from previous months. Using the Total Balance Due method, the system will draft the full $550 for the transaction after accounting for the Prepaid balance first ($250 - $100 + $400 = $550).
