Using Quick Actions in the Communications Skill

Using Quick Actions in the Communications Skill

Every email supports quick actions from both the inbox list view and inside the thread itself. These actions let you manage the state of your inbox without fully opening and processing each email one by one.

Marking an Email as Read or Unread

Keeping track of what you have and have not reviewed is essential when you are managing a high volume of emails across multiple communities. Toggling the read status of an email lets you use unread as a lightweight flag for messages that still need your eyes on them, without starring or moving them.

Note: If you read a message in Outlook, Cephai shows it as read, and the same happens in reverse, so the same message doesn't have to be marked read twice.

Follow these steps to mark an email as read or unread:

  1. Click the More icon next to the appropriate email.

  2. Click the Mark as Read or Mark as Unread icon.

The email displays as read or unread.

Starring an Email for Follow-up

Not every email can be resolved in the moment. Starring gives you a way to flag a message that needs your attention later without leaving it unread or losing it in your inbox. Use stars for emails that are waiting on a response from someone else, require more information before you can act, or simply need a second look when you have more time.

Follow these steps to star an email for follow-up:

  1. Click the More icon next to the appropriate email.

  2. Click the Star icon.

The system flags the email and it can be filtered or located easily when you are ready to return to it.

Marking an Email as Done

Once a matter has been handled, marking it as Done flags it so your view stays focused on what still needs attention, without removing it from your active inbox. Done is not the same as Deleted. Emails marked as Done remain visible alongside the rest of your inbox and can be marked as undone at any time if an email needs to be reopened.

Note: When you reply to an email, it's automatically marked as Done. If the contact replies again, the email automatically reopens so it isn't missed. Whether a Done email stays visible depends entirely on your Hide done filter setting, since nothing gets hidden unless you've turned that filter on yourself.

Follow these steps to mark an email as Done:

  1. Click the More icon next to the appropriate email.

  2. Click the Mark as Done icon.

The system marks the email as Done. To undo this, locate the email and click Toggle done off.

Archiving an Email

Archiving is for emails you want to keep on record but no longer need to act on. It is a way to clear your inbox without losing the history of an email. Archived emails are stored in the Archive folder and can be retrieved at any time if you need to reference them later.

Follow these steps to archive an email:

  1. Click the More icon next to the appropriate email.

  2. Click the Archive icon.

The system removes the email from your active inbox and stores it for long-term reference. To retrieve an archived email, go to the Archive folder and locate the email.

Note: In the Archive folder, you can also select Delete to permanently remove the email from the system, select Restore to inbox to move the email back to the Inbox, or select Mark as done to indicate you’ve taken action on the email.

Deleting an Email

Deleting is for emails you no longer need and don’t want in your inbox. Deleted emails are moved to the Trash folder, where they remain until they are permanently removed, either automatically after 90 days or manually at any time.

Follow these steps to delete an email:

  1. Click the More icon next to the appropriate email.

  2. Click the Delete icon.

The system moves the email to the Trash folder.

Note: In the Trash folder, you can also select Permanently Delete to permanently remove the email from the system or select Restore to move the email back to the Inbox.
