Processing Pending ACC Requests

The Pending ACC Request screen is used to process pending ACC requests so the ARC can review the request through the Homeowner & Board App or the Homeowner & Board Portal. Once an ARC response is received, the ACC request can be closed.

Pending ACC Request

On the Pending ACC Requests screen:

  • Underlined items represent a link to the homeowner's correspondence record for the ACC Request, where you can review past notes and correspondences.

  • ACC requests are marked with a red dot and the response displays in red when an ARC response is received.

  • Click the View ARC Discussion Comments hyperlink to open a popup and view ARC Comments for the ACC Request. To add a new comment, enter text in the New ARC Note field and click Save.

Posting ACC Requests

  1. Select CCR > Pending ACC Request. If you are using universal navigation, click Residents > ACC Requests > Pending Request.

  2. On the Pending ACC Requests screen, select the association using the association search field.

  3. Use the search parameters to locate a homeowner or enter the Percent sign (%) to view all ACC requests for the association.

  4. Click Refresh.

  5. To view ACC requests ready for auto-approval, toggle on Show all ready for auto-approval, then click Refresh. The auto-approval criteria for pending ACC requests are set on the Setup > Association Setup screen for the association. If you are using universal navigation, click Associations > Associations > View All.

  6. In the Date field, enter the date that will appear in the homeowner's correspondence record. Defaults to the current date.

  7. In the Current/New Job field, enter a description for the current group of ACC requests to post. For example, “ACC Requests Posted 09/25/24.”

  8. For each Pending ACC Requests that will be posted, update the following information as needed:

    • Next Contact: Enter or select the date of the next contact. You can receive an alert to review the account on the date entered if the alert for Next Contact Reminder is enabled.

    • Completed Form Received: Enter or select the date when all requested information from the homeowner was received. You can receive an alert to review the account on the date entered if the alert for Form Not Received Reminder is enabled.

    • Sent to ARC: Enter or select the current date.

    • Create: Choose the type of correspondence created such as a letter to the homeowner, a note to the ACC record, or a recommendation on the homeowner's correspondence.

    • Status: Choose the status for the correspondence record.

    • Template: If sending an ACC Response Letter, choose the appropriate ACC response letter template.

    • ACC Response: Enter any additional information or stipulations needed.

  9. Click Save:

  10. Select the checkbox(es) next to the Pending ACC Requests that are ready to post and click Post.

    • The ARC will receive notification of the ACC requests through the Homeowner & Board App, and a correspondence record will be logged to the homeowner’s account.

    • The job name will appear under Recent Reports in the left side navigation menu, where you can download a PDF of the ACC requests.

Closing ACC Requests

Closing an ACC Request does not change the status of the ACC Request but removes it from the pending ACC Request list. The ACC requests status is marked closed in the homeowner’s correspondence record.

  1. Select CCR > Pending ACC Request. If you are using universal navigation, click Residents > ACC Requests > Pending Request.

  2. On the Pending ACC Requests screen, select the association using the association search field.

  3. Use the search parameters to locate a homeowner or enter the Percent sign (%) to view all ACC requests for the association.

  4. Click Refresh.

  5. In the Current/New Job field, enter a description for the current group of ACC requests to close. For example, “ACC Requests Closed 09/26/24.”

  6. Select the checkbox(es) next to the Pending ACC Requests that have received an ARC response and are ready to close. ACC requests are marked with a red dot and the response displays in red when an ARC response is received.

  7. Click Close.

    • The job name will appear under Recent Reports in the left side Navigation menu, where you can download a PDF of the ACC requests.
