Creating a New Violation

Use the New Violations screen to create and enter new violations. You can also process existing homeowner violations from this screen, however CINC suggests processing violations from the Quick Violation Escalation screen.

Creating a Violation

  1. Select CCR > New Violations. If you are using universal navigation, click Residents > Violations > New Violations.

  2. Search for and select the desired association.

  3. Search for and select the Homeowner.

  4. Confirm the Violation Date. Defaults to today's date.

  5. If no violation job is open, enter a description in the New job field. CINC recommends using the following syntax: association code and date. For example, OJTA 02/10/2026.

  6. Select the checkbox next to the applicable violation in the Create New Violations section at the bottom of the screen.

  7. Select the Level and, if applicable, enter the Certified Mail Number.

  8. Select the checkbox next to at least one violation item.

  9. Enter an Addt’l Descr that includes details and action needed for each selected violation item.

  10. Click Save. The newly created violation displays in the Current Open Violations section of the screen. You can click View Notes to view a report of all correspondence history for that violation.

  11. Repeat for each new violation as needed.

    NOTE: To assign violations to multiple homeowners while keeping the same job, click the orange navigation arrows below the address to navigate between homeowners.

Previewing Violation Letters from the New Violations Screen

Click Preview to generate a preview of the letters for all open violations. You can find generated letters as a Violation Notes report under Recent Reports in the left navigation menu.

Posting Violations from the New Violations Screen

Select the checkbox(es) next to the violation(s) and click Post. Posting a violation makes it available to have violation letters generated, violation emails sent, and violation fines approved.

Closing Violations from the New Violations Screen

Select the checkbox(es) next to the violation(s) and click Close.

Reopening Violations from the New Violations Screen

Once closed, you can reopen a violation by selecting Reopen next to the violation in the Closed Violations section.
