Processing Violations

From the Quick Violation Escalation screen, you can process violations in bulk at the association level. You can also see the entire contents of your assigned violation job.

Note: Only the person assigned to the violation job has the ability to make changes to the violations in that job. See Reassigning Violation Jobs for more information.

  1. Select CCR > Quick Violation Escalation. If you are using universal navigation, click Residents > Violations > Quick Escalation.

  2. Search for and select the desired association.

  3. Search for and select the homeowner.

  4. If needed, toggle on Violations Due for Escalation to view only violations that are due for escalation.

From this view, you can complete a variety of tasks related to managing violations.

Escalating Violations

NOTE: CINC recommends closing any violations that have already been resolved prior to escalating existing violations. This shortens the violation list and prevents escalating the wrong violation.

Due For Escalation On dates in red are ready for escalation based on the After Number of Days entered on the CCR > Violations Setup, Violation screen. If you are using universal navigation, click Residents > Violations > Setup.

  1. If the New job field contains a value, clear it and enter a New Job value. CINC recommends using the syntax: association code and date.

  2. In the Current Open Violations section of the screen, edit the Escalation Date for the violation if needed.

  3. Select the checkbox next to the violation to be escalated and update the Level as applicable.

  4. Click Save.

  • You can click View Notes to view a report of all correspondence history for that violation, which will include escalations.

  • Escalating a violation will generate a correspondence if a letter template is assigned to the level the homeowner is escalated to.

  • Escalating a violation will trigger new fines that need approval. See Managing Violation Fines for more detail.

Adding Violation images on the Quick Violation Escalation Screen

  1. Click the Homeowner name to open the Notes History screen.

  2. On the Notes History screen, click Manage next to the Attachments field.

  3. On the Correspondence Attachments screen, click the Choose Files button to browse to and select the applicable image.

  4. Click Save to include the image in the violation letter.

Previewing Violation Letters on the Quick Violation Escalation Screen

Click Preview to generate a preview of the letters for all open violations. You can find generated letters as a Violation Notes report under Recent Reports in the left navigation menu.

Posting Violations on the Quick Violation Escalation Screen

Click Post to post violations for all open violations. Posting a violation makes it available to have violation letters generated, violation emails sent, and violation fines approved.

Regenerating Violations on the Quick Violation Escalation Screen

To regenerate the violation letter at its current level without any changes, select Regenerate. This re-adds the violation to the current open job so you can post it again with the new letter.

Closing Violations on the Quick Violation Escalation Screen

Select the checkbox(es) next to the violation(s) and click Close. Once closed, you can reopen violations from the CCR > New Violations screen by selecting Reopen. If you are using universal navigation, click Residents > Violations > New Violations.
